At Cooveb, we respect your privacy and are committed to keeping your personal information safe. This Privacy Policy explains how Cooveb ("we", "us", or "our") collects, uses, and protects information when you use our B2B Event Pod Platform and SaaS tools via cooveb.com.

1. Scope of This Policy

This policy applies specifically to Event Organizers, Sponsors, and Attendees who interact with Cooveb's Event Pod software. Note: If you are using our AI Hotel Booking platform (hotels.cooveb.com), please refer to the Cooveb Hotels Privacy Policy.

2. Information We Collect

A. From Event Organizers & Sponsors

When you create an organizer or sponsor account, we collect:

• Business Details: Name, company name, email, phone number, and billing information.
• Event Data: Information about your events, schedules, speakers, and venue maps.

B. From Event Attendees

When you register for an event or use a Cooveb Event Pod, we collect:

• Basic Profile: Name, email, and ticketing information.
• Interaction Data: Sessions attended, sponsor booths visited, and networking connections made through our AI Event Concierge.

3. Data Processing Agreement (DPA)

For Event Organizers: Cooveb acts as a Data Processor for the attendee data you collect via our platform. You (the Organizer) are the Data Controller.

• We process attendee data strictly to provide the Event Pod functionality on your behalf.
• We do not sell attendee data to third-party data brokers.
• You are responsible for ensuring you have the legal right and consent to collect attendee data.

4. How We Use Information

We use the collected data to:

• Provide and maintain the Event Pod platform.
• Process subscription and ticketing payments.
• Power the AI Event Concierge for personalized attendee scheduling.
• Generate aggregated, anonymized analytics for event organizers regarding sponsor engagement.

5. Sharing Your Information

We may share data with:

• Service Providers: Cloud hosting (Vercel, Supabase), email providers, and payment processors (Stripe).
• Event Organizers: If you are an attendee, your profile and interaction data are shared with the Organizer of the event you are attending.
• Sponsors: If an attendee explicitly consents (e.g., by scanning a badge or engaging with a Sponsor Showcase), their contact info may be shared with that specific sponsor.

6. Data Security and Retention

We use industry-standard encryption to protect data at rest and in transit. We retain personal data only for as long as necessary to fulfill the purposes outlined in this policy or as required by law.

8. Cooveb Moments Mobile Application & Account Disclosures

A. Data Collected by Cooveb Moments

When you use the Cooveb Moments Android and mobile applications, we collect and process the following categories of user data:

• Account & Identity: Email address, Supabase User ID, name, phone number, and authentication tokens.
• Location & Addresses: City detection, saved delivery addresses, recipient names, and location pins for gift delivery.
• Event Planning & RSVPs: Event plans, guest lists, RSVPs, dietary and allergy preferences (collected with explicit opt-in consent).
• Gifts & Custom Requests: Gift hampers selected, recipient details, custom notes, delivery tracking status, and tax invoice history.
• Media & Communications: Chat messages, uploaded event images, and voice recordings.

B. Third-Party Data Processors

To provide our mobile services, we share necessary data with trusted third-party infrastructure providers:

• Supabase Inc.: Identity authentication, session token management, and encrypted database storage.
• Mapbox Inc.: Geolocation reverse-coding and interactive map routing.
• Vercel & Cloud Hosting: API infrastructure, serverless processing, and secure endpoint execution.

C. Account Deletion & Retention Procedures

• In-App Account Deletion: You can trigger immediate complete account deletion inside the Cooveb Moments app under Profile → Account & Privacy Control → Delete account.
• Public Web Deletion Page: If you do not have the app installed, you can submit a deletion request via our public portal at https://www.cooveb.com/moments/account-deletion or by emailing support@cooveb.com.
• Data Retention: Complete deletion purges your authentication identity, profile, saved addresses, and preferences. Anonymized financial transaction totals and tax invoice numbers are retained for up to 180 days to comply with legal tax audit mandates.
