This policy applies specifically to Event Organizers, Sponsors, and Attendees who interact with Cooveb's Event Pod software. Note: If you are using our AI Hotel Booking platform (hotels.cooveb.com), please refer to the Cooveb Hotels Privacy Policy.

A. From Event Organizers & Sponsors

When you create an organizer or sponsor account, we collect:

• Business Details: Name, company name, email, phone number, and billing information.
• Event Data: Information about your events, schedules, speakers, and venue maps.

B. From Event Attendees

When you register for an event or use a Cooveb Event Pod, we collect:

• Basic Profile: Name, email, and ticketing information.
• Interaction Data: Sessions attended, sponsor booths visited, and networking connections made through our AI Event Concierge.

3. Data Processing Agreement (DPA)

For Event Organizers: Cooveb acts as a Data Processor for the attendee data you collect via our platform. You (the Organizer) are the Data Controller.

• We process attendee data strictly to provide the Event Pod functionality on your behalf.
• We do not sell attendee data to third-party data brokers.
• You are responsible for ensuring you have the legal right and consent to collect attendee data.

4. How We Use Information

We use the collected data to:

• Provide and maintain the Event Pod platform.
• Process subscription and ticketing payments.
• Power the AI Event Concierge for personalized attendee scheduling.
• Generate aggregated, anonymized analytics for event organizers regarding sponsor engagement.

5. Sharing Your Information

We may share data with:

• Service Providers: Cloud hosting (Vercel, Supabase), email providers, and payment processors (Stripe).
• Event Organizers: If you are an attendee, your profile and interaction data are shared with the Organizer of the event you are attending.
• Sponsors: If an attendee explicitly consents (e.g., by scanning a badge or engaging with a Sponsor Showcase), their contact info may be shared with that specific sponsor.

6. Data Security and Retention

We use industry-standard encryption to protect data at rest and in transit. We retain personal data only for as long as necessary to fulfill the purposes outlined in this policy or as required by law.

7. Your Rights

You may access, correct, or delete your account information at any time via your dashboard settings. If you are an attendee and wish to delete your data, please contact the Event Organizer directly, or contact us at info@cooveb.com.
